Waiting list privacy notice

Last updated: 1 October 2026. TheatrePass is preparing to open interview and exam preparation for UK surgical training. This notice explains what happens to the details you give us when you join the waiting list, under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

TheatrePass decides how your details are used. For anything about your data, email hello@theatrepass.co.uk.

What we keep

• Your email address, which you give us to join.
• What you are preparing for, if you choose to tell us after joining: the specialties or exams you pick.
• Where you came from: the name of the website or campaign that sent you to us, when the link carried one.
• When you joined, as the record of your consent.

To stop automated sign-ups, a scrambled form of your device's internet address is kept when you submit the form. It is made with a secret key, so it cannot be turned back into the address, it cannot be used to contact you, and it is cleared out once it is more than a day old.

Why, and on what basis

We use your email address to tell you when TheatrePass opens and to send occasional updates about the launch. What you are preparing for helps us decide what those emails say, and where you came from tells us which of our posts reach people. The lawful basis is your consent, given when you join (UK GDPR Article 6(1)(a)). You can withdraw it at any time, and doing so does not affect anything we did before. Because anyone can type an address, our first email asks you to confirm that it is yours and that you want to stay on the list; if it is not confirmed, we delete it.

We never sell your details or share them with anyone for their own marketing. This site does not use cookies or advertising trackers.

Where it is stored

Your details are stored by Supabase, our database provider, on servers in London, United Kingdom. The website is hosted by Vercel, which handles your request when you submit the form.

How long we keep it

Until TheatrePass opens and for up to 12 months afterwards, or until you unsubscribe or ask us to delete it, whichever comes first.

Your rights

You can ask to see the details we hold about you, to correct them, or to delete them, and you can unsubscribe from any email we send. Email hello@theatrepass.co.uk and we will act within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

If this notice changes, the new version will appear on this page with a new date.
